Booking Conditions
Deposit and Final Payment We accept VISA, Mastercard, Eurocard cards. We also accept American Express cards but payments by American Express card are subject to a charge of 2%. Your payment is not deemed made until it is received. All payments are in Euros. A deposit of the trip price is required to confirm the booking. It is due when booking. The deposit forms part of your final payment. The deposit amount is : The balance of the trip cost is due 45 days prior to departure. With your authorization, we can automatically bill your credit card when the balance is due. Young Tour Participants / child policy: Tour participants who are less than 18 years old on the tour departure date must be accompanied by an adult. First child under 12 years of age sharing a room with two adults will be charged 30% reduction off the adult price. Second child under 12 years of age sharing a room with two adults will be charged 60% reduction off the adult price. Children over 12 years and below 18 years of age will be charged 10 % reduction off the full adult price when sharing a room with two adults. Cancellation by you (this paragraph concerns all tours except "Tour de France trips") When cancellation is received more than 30 days prior to departure, the following administration fees will be retained : 46 days and more :100 Euros 30 -45 days : 150 Euros When cancellation is received within 30 days of departure, the following per person cancellation fees apply: 30 - 21 days prior to departure: 25% of the total price 8 - 20 days prior to departure: 50% of total price 2 - 7 days :75 % of trip price 1 day prior to departure: 90% of trip price On departure day and later: 100% of total price Exceptions to this policy cannot be made for any reason, including weather or personal emergencies, also we suggest you to take out a cancellation insurance policy.
Cancellation by you (this paragraph concerns "Tour de France trips" only) If cancellation is received more than 90 days prior to departure, the following administration fees will be retained : 180 days and more :100 Euros 91 - 180 days : 300 Euros For cancellations received within 90 days of departure, the following per person cancellation fees apply: 61- 90 days prior to departure: 25% of the total price 45 - 60 days prior to departure: 50% of total price 30- 44 days prior to departure: 75 % of trip price 15 - 29 days prior to departure: 90% of trip price 0 - 14 days prior to departure : 100% of total price Cancellation charges also apply to additional accommodations reserved prior to and after the tour (only for bookings paid by Cyclande ) Exceptions to this policy cannot be made for any reason, including weather or personal emergencies, but we suggest you to take out a cancellation insurance policy. Cancellation by us: Scheduled group departures are subject to a minimum of 4 people. On the rare occasion when less than the minimum number have booked we reserve the right to cancel the departure and will advise you of such cancellations not later than 4 weeks before the departure date. We will try to offer you alternative arrangements; if you do not accept these we will refund all payments you have made to us but we will not be liable for any claims made by you or for any additional costs incurred by you. Changes Changes made by you to your booking may incur an fee up to 50 Euros per amendment. In addition, a cancellation fee may be due. Changes to your Itinerary Our tours are organized long in advance and it may become necessary to make alterations to your holiday. It may also be needed to adapt the tour to the lodgings availability. Where the change is of a significant nature we will, where practical, advise you of such changes before you depart. Sometimes, because of circumstances beyond our control, the sequence of your itinerary may also be adjusted slightly. Occasionally we may be forced to make changes en route due to poor road conditions, weather, or other circumstances. No responsibility is accepted for delays experienced as a result of changes, poor road conditions, weather, vehicle breakdown or any other reason. Group sizes may also vary slightly due to booking patterns or late cancellations by other clients. No refunds will be made in any of these situations.
Miscellaneous: There is no refund for arriving late or leaving a trip early
Hotel Accommodation: Note for couples : when booking you may have preferred a twin-bedded room instead of a double-bedded room. While every effort is made to reserve the twin-bedded rooms, it may happen that some hotels provide a double-bedded room instead. These rooms will be allocated to couples. Bike hire (when applicable): The equipment, including all accessories supplied, is let out on hire. The equipment remains the property of Cyclande or Cyclande's partners and subcontractors (all called « Cyclande » here below). You undertake not to misuse the equipment and to return it with all accessories in the same condition as when received, ordinary wear excepted. Cyclande shall be entitled to charge you for any damage caused to the equipment during the period of hire. In the event of a breakdown Cyclande will do his best to repair or procure the repair of the equipment. Notwithstanding claims for personal injury or death, Cyclande shall not be liable for any damage or loss whatsoever, through breakdown or other defects in the equipment or other circumstances beyond Cyclande's control. You shall be liable to Cyclande in respect of all costs, claims, expenses and demands which he may suffer or incur and which arise directly or indirectly out of use of the equipment during the period of hire. Cyclande reserves the right to charge You for partial or full settlement of any such claim. In the event of the equipment being stolen or lost, Cyclande reserves the right to call upon you to be liable to Cyclande for the replacement value of the equipment. However, should the equipment subsequently be returned in a satisfactory condition, Cyclande hereby undertakes to refund you any sums taken in respect of lost or stolen bikes. You will ensure that the equipment is adequately secured when not in use, will not use the equipment whilst under the influence of drink or drugs. Release and Indemnity Your booking is accepted on the understanding that you realize the hazards involved in this kind of tour, including injury, disease, loss or damage to property, inconvenience and discomfort. You understand and accept that your proposed tour may expose you to inherent dangers. Activities such as cycling, walking and mountain biking are physically taxing and a suitable level of fitness is recommended. You accept that you may be travelling through areas which can be subject to, among other things, unfavorable climatic, physical, or health conditions. You accept these dangers and unfavorable conditions. Activities such as cycling, hiking and mountain biking are physically testing and a suitable level of fitness is needed. We strongly recommend a visit to your doctor and dentist before your holiday. You must ask your doctor about your aptitude to do the tour. During guided or full support tours, you are under the control of your tour guide for the whole holiday. He or she has the authority to determine your suitability to continue with your tour By booking, you also agree to the following : I am aware that any form of travel, including mountain biking, cycling and walking tours, trip planning and accommodation rentals, contains some inherent risks of illness, injury or death, which may be caused by negligence of others, the characteristics of the lodgings and its surroundings, physical exertion for which I am not prepared, consumption of alcoholic beverages, forces of nature, or other agents known or unknown. I acknowledge that the enjoyment and excitement of adventure travel is a reason for my participation, and is derived in part from the inherent risk of such travel. I am also aware that medical facilities may not be readily available or accessible during some of the time in which I am participating in the trip. I also acknowledge that I have received no information from Cyclande, its managers, employees, agents or representatives (hereafter collectively referred to as "Cyclande") that in any way minimizes the risks of such travel. Therefore in consideration of arrangements made by Cyclande for travel by me and its providing tour services itself or as agent, I agree to: 1. ASSUME AND ACCEPT ALL RISKS, DANGER AND HAZARDS, including without limitation, illness, injury, death, loss or damage to my person or property, in any way connected with travel arranged by Cyclande for me. 2. WAIVE ANY AND
ALL CLAIMS that I may have against Cyclande in respect of such
travel.
